Terms of Booking

The terms and conditions below apply to all bookings whether made online through our website or made by email, telephone or in-person. To place a booking with us the lead guest must be at least 21 years of age. Only the lead guest and the named booking party are allowed to use the property and its facilities.

Cancellation, Refunds & Non-Arrival Conditions

If a cancellation is requested more than 6 weeks in advance of arrival, the balance of any monies paid less the deposit will be returned. If the cancellation is requested within 6 weeks of arrival, we will retain the deposit and reserve the right to retain the balance (should it not be possible to re-let the property for this period).

We strongly recommend that you use travel cancellation insurance to cover the cost of your property.
This will provide you with peace of mind if an unforeseen event forces you to cancel your let.

Damage & Theft

Please treat the accommodation and facilities with due care so that other guests may continue to enjoy them. In the event that you notice damage in your accommodation please let us know immediately so that we can take appropriate action.

On arrival, you will be required to pay a deposit of £200 against damage and cleaning. Charges will only be incurred upon excessive carelessness. The deposit will be returned at the end of your stay less the cost of damage/breakages.

We reserve the right to charge the lead guest for any damages caused through the course of a booking by any member of the booking party. This includes breakages, spillages, damages to furniture or fixtures and fittings. Any accidental damage should be reported as soon as possible to minimise damage and associated costs. Lost keys will incur a replacement charge.

Booking Deposit & Payment of Balance

A non-refundable, non-transferable deposit of £100 is required to secure your booking to be paid by credit card or debit card. The full balance is to be paid in full six weeks before your arrival. If you are booking within six weeks of the start of your let, payment in full is required with your booking form.

Check-in/Check out Times

Check-in: This property has a self-check-in facility from 4.00 pm on the day of arrival.

Check out by: 10.30 am on the day of departure.

Wi-Fi & Fair Usage Policy

Free Wi-Fi internet access is provided.

Access to illegal activity or use of our network for illegal activity is prohibited and will be reported to local authorities.

Smoking

We have a no smoking policy inside the property at any time. We do adhere strictly to this policy. A surcharge of £250 will be applied to property charges for anyone smoking within the property.

Pets

We do not accept pets throughout the accommodation, except for service dogs.

Candles

We have a no candles policy inside the property at any time. We do adhere strictly to this policy. A surcharge of £250 will be applied to property charges for anyone lighting candles within the property.

Parking

There is free parking on site. Where on-site parking is provided guests accept that they park their vehicles at their own risk.

Linen

The property is supplied with pillows, duvets and bed linen. A bath towel, hand towel and face cloth per person.

Dish towels and three hand towels are also provided and included in the price.

Equipment

The property is furnished and equipped to cater for the stated permitted occupancy and includes pots and pans, crockery, cutlery, iron and ironing board etc.

Security

We use the latest technology to ensure that your details stay safe and secure. At no time are credit card details transmitted over a non-secure connection.
All transactions are processed by hand using the “Customer Not Present” method. If you require a receipt of your credit card transaction, please email info@the-ferns.co.uk with your request. All Data is destroyed at the end of your stay.

Cleaning

The property is cleaned thoroughly between each let.

However, as only a limited time is available to clean the property, it is a condition of your let that you leave the property and its contents as you find it.

The hirer shall ensure that the standard of cleanliness of the premises is as high on their departure as on their arrival.
A surcharge of £25 or more if needed will be levied if this condition is not observed.

Oil and Electric Use

Oil and electric usage costs have been incorporated in the rental cost. However, we maintain the right to charge an additional fee for excessive usage. A meter reading of oil and electricity will be taken at the start of your stay.

Heating

Heating is set to come on from 6-7 am. If the heating requires a further boost this can be done at the time clock in the utility room.

Personal Details

Any information supplied to us is held in accordance with the Data Protection Act 2018 and the General Data Protection Regulations 2018. If you have opted in to receive marketing information from us your details may be used to keep you informed of special offers and products that we believe may be of interest to you. We do not disclose information to third parties unless required to do so by law.

Manuals Folder

A manuals folder can be found in the utility room with instructions of use for equipment.

Complaints

It is important to us at The Ferns that you enjoy your stay and every effort has been made to ensure this.

However, in the unlikely event of dissatisfaction with the property or any subsequent problem, you should immediately contact us so that the opportunity to rectify the problem is given.

In The Event of a Fire

On discovering the fire: sound the alarm; dial 999 to call the fire brigade; if possible tackle the fire using the appliances provided. (Do not endanger yourself or others in doing so).

On hearing the alarm: leave the building by the nearest available exit. (A torch is provided in the bedside cabinets to aid visibility); close all doors behind you; report to the person in charge at your assembly point.

Terms of Hire

  • The hirer shall ensure that the standard of cleanliness of the premises is as high on their departure as on their arrival. A surcharge of £25 will be levied if this condition is not observed.
 
  • The Hirer shall not sub-let the premises or any part thereof.
 
  • The number of people occupying the premises shall not exceed the number stated for the premises, a £50 per person levy will be charged if this is not adhered to.
 
  • The Hirer binds and obliges himself to vacate the hired premises without demand at the termination of the period of hire.
 
  • The Hirer binds and obliges himself to pay the lessor in respect of any loss or damage beyond fair wear and tear.
 
  • Where the Hirer has made a booking a £200 breakage deposit is payable before arrival (this can be used for any monies outstanding at the end of your stay). The person named on the booking form will be considered as the ‘Responsible Person’ who shall ensure that each property is left in a clean and orderly condition. This is refundable on departure, once The Ferns are satisfied that the property has been left in the same condition it was hired out in.
 
  • Your initial payment comprises of a non-refundable deposit. The balance of the hire charge must be paid at least 6 weeks prior to the commencement of the holiday. The Lessor may treat the booking as cancelled if the balance of the hire charge is not sent by this date. If the booking is made within 6 weeks of the start of the holiday, payment in full at the time of booking is required. 
 
  • Oil and Electric will be charged as used which has proved to be fair to reduce waste as oil and electricity are under the customer’s control.
 
  • The Hirer agrees that, in the event of cancellation, while all reasonable efforts will be made by the lessor to re-let, the Hirer will be responsible for paying for the period of tenancy booked if a substitute cannot be found.
 
  • The Lessor, his agents or employees, accept no responsibility for loss, injury or damage to the Hirer’s property, possessions and personal effects. 
 
  • The hours of quietness 11 pm to 7 am will be enforced and you will be asked to leave if breaches occur.
